The Launchpad Studio ("we", "us", "our") is a UK-based AI agency operated by Luc Garland (sole trader).

For the purposes of UK GDPR, the data controller is Luc Garland, trading as The Launchpad Studio.

2. What this policy covers

This policy explains how we handle personal data relating to:

  • Visitors to thelaunchpadstudio.com
  • People who book a free AI audit
  • Customers who use our services (AI Receptionist, SEO content, website builds, custom AI, AI Growth Package)

3. What we collect

When you visit our website: We don't currently use any analytics or tracking cookies. The only cookie we may set is one to remember your cookie preferences.

When you book a free AI audit: Bookings are handled through Calendly. When you book, you'll provide: your name, email address, phone number (optional), anything you tell us in the booking notes. This data is stored by Calendly under their privacy terms (calendly.com/privacy) and shared with us so we can run the audit.

When you become a customer: We collect business contact details and billing information; information needed to set up your services; and communications between you and us.

When we operate an AI Receptionist on your behalf: We process the personal data of your customers (their name, phone number, enquiry details) under your instruction. In this context, you are the data controller and we are the data processor. A separate Data Processing Agreement (DPA) governs this relationship and is provided when you sign up.

4. Why we collect it (lawful basis)

We only collect and use personal data where we have a lawful basis to do so:

  • Consent — when you accept non-essential cookies or sign up to any communications
  • Contract — to deliver the services you've signed up for
  • Legitimate interests — to run and improve our website, respond to your enquiries, and protect against fraud
  • Legal obligation — to meet our tax, accounting, and regulatory duties

5. Who we share it with

We don't sell your data. We share it only with:

  • Service providers we use to run our business: Calendly (bookings), our hosting provider (Netlify), and our email provider. Each is bound by their own data protection terms.
  • Legal or regulatory authorities if we're legally required to.

6. International transfers

Some of our service providers (e.g. Calendly, Netlify) may store data in the United States. When this happens, we rely on safeguards recognised by the UK ICO — typically Standard Contractual Clauses or equivalent adequacy decisions.

7. How long we keep it

  • Audit booking enquiries: up to 24 months after last contact
  • Customer records: for the duration of the contract plus 7 years for tax and accounting purposes
  • AI Receptionist call logs: as defined in your service contract (typically 90 days, configurable)

8. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct anything that's wrong
  • Ask us to delete your data ("right to be forgotten")
  • Restrict or object to how we use it
  • Receive your data in a portable format
  • Withdraw consent at any time
  • Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you think we've handled your data improperly

9. Security

We use industry-standard security measures to protect your data, including encrypted connections (HTTPS), access controls, and regular security reviews. No system is perfectly secure, but we take this seriously.

10. Children

Our services are aimed at businesses, not individuals under 18. We don't knowingly collect data from children.

11. Changes to this policy

If we update this policy, we'll change the "Last updated" date at the top. For significant changes, we'll notify customers by email.
